ACCEPTED COMMUNICATION OR CASE REPORT

ASK TO AUTHORS: The main author of each essay will be present in front of their poster on Friday 21 October, 2022 from 5:30PM to 6:30PM at the Poster Area, at the exibition area .
Posters are also avaialble at the SEVC app.


The Southern European Veterinary Conference-SEVC 2022 invites veterinarians to submit abstracts either as COMMUNICATIONS relating to clinical research, both prospective and retrospective, or CASE REPORTS that present new or alternative information of interest to a small animal or exotic animal clinicians. All accepted abstracts must be presented in poster format during the Congress. Original work only will be accepted.


Guidelines to submit your abstract


1. HOW TO SUBMIT  A scientific COMMUNICATION OR CASE REPORT

1- FIRST STEP: REGISTER AS A CONTACT AUTHOR
The first step to submit an abstract is the registration of the contact author. All personal details of the main author must be included in the Author Registration Form. Work can be presented with multiple authors, however, only one person can be registered as the main author for presentation and contractual purposes.

Criteria for authorship: SEVC-AVEPA recommendation is to include as authors only those who have actively participated in clinical cases or in scientific communication, either in the conception and design, the acquisition of data and interpretation of results, or in the writing of the text.
The first author is the one who has worked the most, leaving the last place in the list of authors for the senior researcher, supervisor and responsible for the final review before sending it.
AVEPA-SEVC understands that when submitting a paper to evaluate all authors have approved the text submitted.

 

2- SECOND SETP: SUBMIT THE CASE REPORT OR SCIENTIFIC COMMUNICATION 
Once the contact author is registered, the second step is to submit an abstract(s), login and password will be requested. After you have submitted your abstract, you will be able to make amendments yourself until the deadline by logging into your account. After that date, no more changes will be accepted because the evaluation process will have begun.


Resume Characteristics

  • The summary, the poster and the poster presentation of the work will only be accepted in English or Spanish.
  • The presentation summary must be received by the 8th June 2022.
  • Summaries are to be submitted using the form available here
  • 1000 words maximum, excluding bibliography and Short Resume.
  • A small resume of your work will be requested - 250 words maximum (These 250 words are in addition to the 1000 word maximum mentioned above). The authors must indicate if the SEVC can only publish the 250-word resume or the 250-word resume together with the abstract if the abstract is accepted.
  • Summaries should adequately describe the objectives and results of the work in order to evaluate quality and originality.
  • Authors must not mention the name of their institution (Clinical/University/Company)in the summary. If it is mentioned, the abstract will be automatically rejected.
  • Summaries previously published in other journals or conferences will be automatically rejected
  • Include the following sections:

Communication:
1. 250 word resume
2. Objectives of the study: Give a brief introduction of the motive for the investigation using the relevant up-to-date bibliography. Finalise this section indicating the objectives of the study.
3. Material and Methods: with a description of procedures, including a statistical study
4. Results: with the main results of the study
5. Discussion and Conclusions: Explain the results in the context of your research and hypothesis
6. Bibliography *

Case Report:
1. 250 word resume
2. Introduction: Describe briefly why the case is interesting
3. Clinical Case Description: Describe the case using medical terms
4. Discussion and Conclusion: Explain the findings and their relevance
5. Bibliography*

The main author will receive an automatic confirmation that the communication has been received  with an assignment code which identifies the corresponding author's essay and is to be used when making any inquiries.


* BIBLIOGRAPHY FORMATS

Any statement that is made in the article and that does not reveal the results in itself, must be accompanied by a corresponding bibliographic quote. These references must be placed in order of appearance at the end of the article(not alphabetically) and be given a consecutive number according to their order of appearance. A superscript number referencing the bibliographic quote must be included in the main text.

Always name all authors if fewer than six. If more, name the first three then add "et al".

PHOTOGRAPHS and GRAPHICS
Only one graphic or digital photographic representation of the work will be accepted.
Note: Digital Photographs should be presented preferably in JPG, PNG or pdf format.

NOTE
Summaries and therefore corrections will not be accepted in the following cases:

  • If they are received after the 8th JUNY 2022
  • If it is stated that the results are to be discussed, but the discussions are not included in the poster
  • If they are not received using the official template format
  • If they have not been drafted using the established format
  • If they are sent via the postal service
  • If it has been previously published in other journals or conferences

2. EVALUATION AND ACCEPTANCE OF THE WORK

Once the summaries have been received, they will be evaluated by members of the AVEPA Scientific Committee or other expert evaluators using only the assignment code of the essay; never with the name and personal details of the author.
Once the summaries have been evaluated, the authors will be informed as to whether or not their essay has been accepted.

The still at the review process. We will send you the reviews by the end of August. We really sorry for the inconveniences caused. 

In some cases, or when considered necessary, authors will be asked to make modifications or corrections to some aspects of their poster. This means that the newly revised poster will have to be resubmitted, with new deadlines to be specified to each author. Summaries received after this new date will not be included in the congress programme.


3. REGISTRATION FOR THE ONLINE SEVC CONFERENCE

Once an essay has been accepted its main author can and indeed must register for the complete SEVC - AVEPA National Congress conference fee before October 10th. Anyone whose open topic presentation has been accepted and who have not registered by the above-mentioned date will lose the option to present their work.


4. GUIDELINES FOR ACCEPTED CASE REPORT AND SCIENTIFIC COMMUNICATION: HOW TO SUBMIT THE POSTER

Authors of Accepted Clinical Cases or Scientific communications will have to
1) Print a poster to display during the conference
2) Submit the Poster for the SEVC Congress Platform

1. GUIDELINES FOR DISPLAY AND PRINT POSTER:
- The display date for posters is the 20 October from 2:00pm until 7:30pm.
- The space available for each poster is 90cm wide by 120cm high. We request that no posters occupy the entire space. The display panels will be identified with the assignment code used throughout to identify the essay. We advise that the poster be legible from a distance of two metros and that it does not contain an excess of information (text) which may hamper reading.
- We recommend to print the POSTER in paper, not in fabric.
- There will be material available for the hanging of posters at the Poster AREA.
It remains the responsibility of the Author to ensure the correct placement of the poster on the assigned display panel. Both the poster number and the panel number will be clearly indicated.

PRESENTATION OF THE POSTER
The main author of the essay must be present in front of the poster on Friday 21 October, 2022 from 17:30PM to 16:30 PM.
The presentation of the poster in person by the author is a mandatory requirement. If a poster is not presented in person at the SEVC 2022, no free communications from the author will be accepted for the following two conferences.

TAKING DOWN OF THE POSTER
Posters are to be taken down on 22 October, from 6:30pm onwards. Posters that have not been removed by 8pm will be presumed abandoned and the SEVC organization will not be held responsible for returning them to the authors.

2- GUIDELINES TO SUBMIT YOUR POSTER FOR SEVC CONGRESS PLATFORM

  • Poster submission deadline: OCTOBER 10 (up to this day, you can upload, access, and make modifications to the poster and the audio).
  • The posters must be produced using Powerpoint (.ppt), using the template provided by AVEPA-SEVC available at the link above. After you have to convert the power point to a JPG file to upload the Poster
  • Maximum 1 page per poster. Supplied as a single file, NOT separate files.
  • Minimum font size: 12 (NOTE: in case of using smaller font sizes, the poster will not be able to be read correctly). 
  • Arial font (recommended). 
  • Powerpoint effects or animations are not allowed. 
  • Do not use links 
  • The accepted languages for the poster are Spanish and English.
  • The poster file size cannot exceed 4 Megabytes.
  • The posters must be uploaded in JPG format.
  • An audio, with an explanation and presentation of your poster will be required  (3 or 4 minutes in mp3, mp4 or wav format). This is mandatory. 
  • By submitting a Poster, you accept that you may receive emails from veterinarias registered with questions regarding your Poster. 

5. AWARDS FOR BEST FREE COMMUNICATION, BEST CASE REPORT AND RECENT GRADUATE PRESENTATION

Posters will be awarded prizes in three categories:

  • Best Free Communication (Open Topic);
  • Best Case Report; and
  • Best Recent Graduate Presentation (first author must not be older than 29).

The Scientific Committee will evaluate entries for:

  • Topic originality;
  • Practical application; and
  • Scientific precision.

A jury will then evaluate the three highest scoring posters in the three categories and choose a winner in each category.
Three well-known veterinarians will be invited by the AVEPA Scientific Committee to form the jury, which will be changed each year. Free Communications coordinators will not be jurors.
The Scientific Committee reserves the right to declare any category void or to award additional prizes.
Winners will receive a cheque for €500 and a certificate. All winners will be notified before the Conference.


6. PUBLICATION OF THE WORK

All work accepted and entered for competition will be included in the SEVC Proceedings available to all congress attendees.
The Scientific Committee reserves the right to publish presentations in the official AVEPA magazine, “Clínica Veterinaria de Pequeños Animales" or on the AVEPA Website, after their presentation at the Congress.
The coordinator of the AVEPA magazine, Clinica Veterinaria de Pequeños Animales, will select some abstracts accepted by the SEVC for publication. The coordinator may request that authors, if they wish, expand the content of their abstract before it is reviewed and published.
