SEND YOUR FREE COMMUNICATION OR CASE REPORT

The Southern European Veterinary Conference-SEVC 2020 ONLINE invites veterinarians to submit abstracts either as FREE COMMUNICATIONS relating to clinical research, both prospective and retrospective, or CASE REPORTS that present new or alternative information of interest to a small animal or exotic animal clinicians. All accepted abstracts must be presented in poster format during the Congress. Original work only will be accepted.

PERSONAL DETAILS
The first step to submit an abstract is the registration of the contact author. All personal details of the main author must be included in the Author Registration Form. Work can be presented with multiple authors, however, only one person can be registered as the main author for presentation and contractual purposes.

SUMMARY
Once the contact author is registered, the second step is to submit an abstract(s), login and password will be requested. After you have submitted your abstract, you will be able to make amendments yourself until July 9th by logging into your account. After that date, no more changes will be accepted because the evaluation process will have begun.


Resume Characteristics

  • The summary, the poster and the poster presentation of the work will only be accepted in English or Spanish.
  • The presentation summary must be received by the 9th July 2020.
  • Summaries are to be submitted using the form available here
  • 1200 words maximum, including the bibliography.
  • A small resume of your work will be requested - 250 words maximum (These 250 words are in addition to the 1200 word maximum mentioned above). The authors must indicate if the SEVC can only publish the 250-word resume or the 250-word resume together with the abstract if the abstract is accepted.
  • Summaries should adequately describe the objectives and results of the work in order to evaluate quality and originality.
  • Authors must not mention the name of their institution (Clinical/University/Company)in the summary. If it is mentioned, the abstract will be automatically rejected.
  • Summaries previously published in other journals or conferences will be automatically rejected
  • Include the following sections:

Free Communication:
1. 250 word resume
2. Objectives of the study
3. Material and Methods: with a description of procedures, including a statistical study
4. Results: with the main results of the study
5. Discussion and Conclusions
6. Bibliography *

Case Report:
1. 250 word resume
2. Introduction
3. Clinical Case Description
4. Discussion and Conclusion
5. Bibliography*

The main author will receive an automatic confirmation that the communication has been received from the secretary with an assignment code which identifies the corresponding author's essay and is to be used when making any inquiries.


* BIBLIOGRAPHY FORMATS

Any statement that is made in the article and that does not reveal the results in itself, must be accompanied by a corresponding bibliographic quote. These references must be placed in order of appearance at the end of the article(not alphabetically) and be given a consecutive number according to their order of appearance. A superscript number referencing the bibliographic quote must be included in the main text.

Always name all authors if fewer than six. If more, name the first three then add "et al".

PHOTOGRAPHS and GRAPHICS
Only one graphic or digital photographic representation of the work will be accepted.
Note: Digital Photographs should be presented preferably in JPG, PNG or pdf format.

NOTE
Summaries and therefore corrections will not be accepted in the following cases:

  • If they are received after the 9th JULY 2020
  • If it is stated that the results are to be discussed, but the discussions are not included in the poster
  • If they are not received using the official template format
  • If they have not been drafted using the established format
  • If they are sent via the postal service
  • If it has been previously published in other journals or conferences

2. EVALUATION AND ACCEPTANCE OF THE WORK

Once the summaries have been received, they will be evaluated by members of the AVEPA Scientific Committee or other expert evaluators using only the assignment code of the essay; never with the name and personal details of the author.
Once the summaries have been evaluated, the authors will be informed as to whether or not their essay has been accepted. The dedaline to received this notificaction is October 1st. In some cases, or when considered necessary, authors will be asked to make modifications or corrections to some aspects of their poster. This means that the newly revised poster will have to be resubmitted, with new deadlines to be specified to each author. Summaries received after this new date will not be included in the congress programme.


3. REGISTRATION FOR THE ONLINE SEVC CONFERENCE

Once an essay has been accepted its main author can and indeed must register for the complete SEVC - AVEPA National Congress Online conference fee before the 29th October 2020. Anyone whose open topic presentation has been accepted and who have not registered by the above-mentioned date will lose the option to present their work.


4. GUIDELINES FOR POSTER SUBMISSION AND DISPLAY POSTER DURING THE ONLINE CONFERENCE

RULES TO UPLOAD THE ACCEPETED POSTER

  • Submit the POSTER here. ONLY FOR ACCEPTED POSTER.
  • Poster submission deadline: OCTOBER 30 (up to this day, you can upload, access, and make modifications to the poster and the audio).
  • The posters must be produced using Powerpoint (.ppt), using the template available HERE.
  • Maximum 1 page per poster. Supplied as a single file, NOT separate files.
  • The ID number should be indicated at the top right of the poster.
  • Minimum font size: 12 o 14 (NOTE: if smaller font sizes are used, the poster will not read well). Arial font is recommended. Powerpoint animations and effects are not allowed. Images should be inserted directly, not linked to.
  • The accepted languages for the poster are Spanish and English.
  • The poster file size cannot exceed 4 Megabytes.
  • The posters must be uploaded in JPG format.

New this year, you can upload an audio of approximately 3 or 4 minutes in mp3, mp4 or wav format, explaining and presenting the work. This is NOT mandatory. Free Communication and Case Report studies accepted must be sent using the platform in pdf file. 


5. AWARDS FOR BEST FREE COMMUNICATION, BEST CASE REPORT AND RECENT GRADUATE PRESENTATION

Posters will be awarded prizes in three categories:

  • Best Free Communication (Open Topic);
  • Best Case Report; and
  • Best Recent Graduate Presentation (first author must not be older than 29).

The Scientific Committee will evaluate entries for:

  • Topic originality;
  • Practical application; and
  • Scientific precision.

A jury will then evaluate the three highest scoring posters in the three categories and choose a winner in each category.
Three well-known veterinarians will be invited by the AVEPA Scientific Committee to form the jury, which will be changed each year. Free Communications coordinators will not be jurors.
The Scientific Committee reserves the right to declare any category void or to award additional prizes.
Winners will receive a cheque for €500 and a certificate. All winners will be notified before the Conference.


6. PUBLICATION OF THE WORK

All work accepted and entered for competition will be included in the SEVC Proceedings available to all congress attendees.
The Scientific Committee reserves the right to publish presentations in the official AVEPA magazine, “Clínica Veterinaria de Pequeños Animales" or on the AVEPA Website, after their presentation at the Congress.
The coordinator of the AVEPA magazine, Clinica Veterinaria de Pequeños Animales, will select some abstracts accepted by the SEVC for publication. The coordinator may request that authors, if they wish, expand the content of their abstract before it is reviewed and published.
